This Privacy Policy outlines how CoVetAI Inc., a corporation incorporated under the laws of the State of Delaware, USA, with its address at 2810 N Church St, STE 88961, Wilmington, DE 19802, USA, acting as controller, collects, uses, shares, and protects the personal information of users of our AI-powered veterinary assistant application. The purpose of this Policy is to inform you about our practices with respect to your personal information and help you understand your rights and choices regarding your data.
1.2. Scope of the Privacy Policy
This Policy applies to all personal information we collect from you through the App, our website, or any other services we provide. By accessing or using the App, you acknowledge that you have read, understood, and agree to the collection, use, and disclosure of your personal information as described in this Policy.
2. Information We Collect
2.1. Personal Information
We may collect personal information including your name, email address, and any other information you voluntarily provide when creating an account, submitting inquiries or feedback, or interacting with our support team. If you do not provide your personal information when requested, you may not be able to use the full extent of our services if that personal information is necessary to provide you with the services or if we are legally required to collect it.
2.2. Non-Personal Information
We may collect non-personal information such as your device type, operating system, usage patterns, features used, and session duration.
2.3. Information Collected Automatically
We may automatically collect information through cookies, web beacons, and similar technologies, including your IP address, device identifiers, and browser type.
3. How We Use Your Information
Where applicable privacy laws require us to identify a lawful basis for processing personal information, we rely on different bases depending on how we use the information. We process account, subscription, consultation, transcription, and clinical documentation information where necessary to provide CoVet and the features you request, including account creation, case generation, consultation recording, transcription, and document generation. This processing is based on the performance of our contract with you or taking steps at your request before entering into a contract. We use your contact information to send account, service, and administrative communications where necessary to provide the service. We send promotional communications only where we are permitted to do so, including where you have consented or where applicable law otherwise allows. We may also process and retain certain information where necessary to meet our legal obligations or comply with legal, regulatory, tax, accounting, security, or applicable veterinary record-keeping requirements.
When CoVet uses AI service providers to transcribe consultations or generate clinical documentation, that processing is carried out to provide the features you request as part of the CoVet service (performance of our contract with you).
Additionally, we may use your information for the following purposes and associated legal bases: (i) to arrange for and process the payment of amounts owed by you about orders and contracts (performance of our contract with you); (ii) to improve our products and services to our customers and our website (our legitimate interest in developing and improving our commercial offering); (iii) to improve our customer support services (our legitimate interest in monitoring and improving the quality of the support we provide); (iv) to administer and improve our mobile applications (our legitimate interest in operating, securing and developing our applications); (v) to administer our customer loyalty programs (your consent to participate in the program); (vi) to ensure our business partners complete the due diligence process as part of our anti-bribery and anti-corruption programs (compliance with our legal obligations); (vii) for internal reporting on CoVet market performance and benchmarking purposes (our legitimate interests in managing, measuring and planning our business); and (viii) for targeted marketing campaigns related to our different lines of business (your consent to receiving such communications).
4. How We Share Your Information
4.1. Service Providers
We may share your information with third-party service providers who assist us, including hosting providers, AI service providers, and customer support services. Recipients of your personal data may be located outside of your country of residence. These providers are contractually obligated to protect your information.
4.2. Business Transfers
In the event of a business transition such as a merger or acquisition, your information may be transferred to the successor organization that will continue to process it consistently with the Privacy Policy in effect at collection, with notice of any change of ownership posted and opt-out opportunity depending on your location.
4.3. Legal Requirements
We may disclose information if required by law, in response to a court order, or to protect our rights, property, or safety.
5. Data Retention and Security
We retain personal data about you for as long as necessary to provide you with the Service, and to comply with our legal obligations. When you request that we do so, we take measures to delete your personal data or keep it in a form that does not permit identifying you when this personal data is no longer reasonably necessary for the purposes for which we process it, unless we are required by law to keep this information for a longer period. When we process personal data for our own purposes, we determine the retention period taking into account various criteria, such as the type of products and services provided to you, the nature and length of our relationship with you, possible re-enrollment with products and services, the impact on the products and services we provide to you if we delete some personal data from or about you, and mandatory retention periods provided by law and the statute of limitations.
We have implemented encryption, secure storage, regular assessments, and access controls aligned with SOC 2, GDPR, and CCPA standards.
6. Your Rights and Choices
Depending on where you are located, you may have certain rights in relation to your personal information. These rights may include:
Access — You can ask us to confirm whether we process your personal information and to provide you with a copy of that information.
Correction — You can ask us to correct personal information that is inaccurate or incomplete.
Deletion — You can ask us to delete your personal information in certain circumstances. This is sometimes called the "right to be forgotten." In some cases, we may need to retain certain information where required for legal, security, accounting, or veterinary record-keeping reasons.
Restriction — You can ask us to limit how we use your personal information in certain circumstances, for example while we review a correction request or an objection.
Portability — You can ask us to provide certain personal information in a structured, commonly used, machine-readable format, or to transfer it to another provider where technically feasible.
Objection — You have the right to object to certain uses of your personal information, including where we process it based on our legitimate interests. You can also object to direct marketing at any time.
Automated decision-making — You have rights in relation to decisions made solely by automated means where those decisions have a legal or similarly significant effect on you. CoVet does not use your personal information to make decisions about you in this way.
Withdrawal of consent — Where we rely on your consent to process personal information, you can withdraw that consent at any time. Withdrawing consent will not affect processing that took place before your consent was withdrawn.
Complaints — If you are located in the European Economic Area (“EEA”) or the United Kingdom (“UK”), you have the right to lodge a complaint with a supervisory authority, in particular in the Member State of your habitual residence, place of work, or the place of the alleged infringement of the GDPR/UK GDPR.
6A. Notice to California Residents
If you are a resident of California, this notice applies to you and supplements the CoVet Privacy Policy. This notice is intended to provide certain information to you as required by the California Consumer Privacy Act of 2018 (“CCPA”) and as amended by the California Privacy Rights Act of 2020 (“CPRA”) that began on January 1, 2023.
This notice applies to information that identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household, such as a real name, alias, postal address, unique personal identifier, online identifier Internet Protocol address, email address, account name, or other similar identifiers (“personal information”). Personal information does not include publicly available information and certain other information that is regulated by other applicable laws.
Sensitive personal information (SPI) is a specific subset of personal information that includes certain government identifiers; and account log-in, financial account, debit card, or credit card number with any required security code, password or credentials allowing access to an account; precise geolocation; contents of mail, email, text messages; genetic data; biometric information processed to identify a consumer, information concerning health, sex life or sexual orientation; race or ethnic origin, religious or philosophical beliefs or union membership.
Your rights
Right to know. You have the right to request that we disclose certain information to you about our collection of your personal information. Upon our receipt of your verified request, we will provide you with: the categories of personal information we have collected about you; the categories of sources from which we have collected your personal information; our business or commercial purpose for collecting or selling your personal information; the categories of third parties with whom we have shared your personal information; and the specific pieces of personal information we have collected about you.
You also have the right to request that we disclose certain information to you about our disclosures and sales of your personal information. Upon our receipt of your verified request, we will provide you with: the categories of personal information we have collected from you; the categories of personal information we have sold about you and the categories of third parties to whom we sold such information, by category or categories of personal information for each third party to whom the personal information was sold; and the categories of personal information that we disclosed about you for a business purpose.
Right to opt-out. We do not sell your personal information or share (for cross-context behavioral advertising) your personal information; however, we are required to let you know that you have the right to opt-out of the sale or sharing (for cross-context behavioral advertising) of your personal information if we ever engage in such activity.
Right to delete. You have the right at any time to request that we delete your personal information.
Right to nondiscrimination. We will not discriminate against you for exercising your rights under the CCPA, such as denying you products and services, charging you different rates or prices including use of discounts or penalties, or suggesting or providing a different level of service or quality of products to you. However, we may charge a different price or provide a different level or quality of products and services only if the price or difference is directly related to the value provided to you by your personal information.
Right to correction. You have the right to correct inaccurate personal information that CoVet has about you.
Right to limit the use of sensitive personal information. We may use the SPI collected about you for limited business purposes and within the allowed exceptions; however, we are required to let you know that you have the right to limit the use and disclosure of your SPI if we ever engage in additional activities.
Contact. To submit a request to exercise any of your rights, please contact us at info@co.vet. You may also submit your request via our website. Depending on the nature of your request, we may have to verify your identity when you contact us.
We endeavor to respond to your request as soon as we can. If we are not able to respond to your request within 45 days, we will let you know that we may require additional time (up to 90 total days).
You may also use an authorized agent to exercise your rights on your behalf. If you wish to use an authorized agent, we require that your authorized agent provides written proof to us that he or she is authorized to act on your behalf, and we may also require your authorized agent to verify his or her own identity.
7. International Data Transfers
Data may be stored or processed in countries outside your residence, in countries whose data protection laws may differ from those of your country of residence. When your personal information is transferred outside of the EEA/UK, CoVet relies on the implementation of safeguards including EU standard contractual clauses to comply with the GDPR and the UK International Data Transfer Addendum. For more information about the tools that we use to transfer personal information, or to obtain a copy of the contractual safeguards we use for such transfers (if applicable), you can contact us as described below.
8. Children's Privacy
Our App is not directed to persons under the age of sixteen (16), and we do not knowingly collect, request, or use personal information of children. If we become aware that a child under 16 has provided us with personal information, we will take steps to delete the information as soon as possible.
9. Third-Party Links and Services
Our App may contain links to third-party websites. This Privacy Policy does not apply to their practices, and we encourage you to read their privacy policies.

11. Changes to This Privacy Policy
It may be necessary from time to time for us to modify this Privacy Policy to reflect changes in the way we collect and use personal information or changes in privacy-related laws, regulations and industry standards. We will provide reasonable notice of material changes to the Privacy Policy, including via links posted on CoVet websites.
12. Enterprise-Specific Data Management
For enterprise clients, we offer customized data management solutions including specific retention schedules, data localization options, and enhanced security protocols.
13. Client Communication Features
When using Client Communication Features, we may collect your name, contact information, and communication content. You have the same rights as described in Section 6.
