This Privacy Policy outlines how CoVet collects, uses, shares, and protects the personal information of users of our AI-powered veterinary assistant application. The purpose of this Policy is to inform you about our practices with respect to your personal information and help you understand your rights and choices regarding your data.

This Policy applies to all personal information we collect from you through the App, our website, or any other services we provide. By accessing or using the App, you acknowledge that you have read, understood, and agree to the collection, use, and disclosure of your personal information as described in this Policy.

2.1. Personal Information
We may collect personal information including your name, email address, and any other information you voluntarily provide when creating an account, submitting inquiries or feedback, or interacting with our support team.

We process account, subscription, consultation, transcription, and clinical documentation information where necessary to provide CoVet and the features you request, including account creation, case generation, consultation recording, transcription, and document generation. This processing is based on the performance of our contract with you or taking steps at your request before entering into a contract. We use limited technical, usage, and analytics information to operate, secure, troubleshoot, and improve CoVet based on our legitimate interests in providing a reliable, secure, and effective service. We use your contact information to send account, service, and administrative communications where necessary to provide the service. We send promotional communications only where we are permitted to do so, including where you have consented or where applicable law otherwise allows. We may also process and retain certain information where necessary to meet our legal obligations or comply with legal, regulatory, tax, accounting, security, or applicable veterinary record-keeping requirements.
When CoVet uses AI service providers to transcribe consultations or generate clinical documentation, that processing is carried out to provide the features you request as part of the CoVet service. CoVet does not use customer clinical data, recordings, transcripts, or generated notes to train or fine-tune AI models, or permit our AI service providers to do so.
4. How We Share Your Information
4.1. Service Providers
We may share your information with third-party service providers who assist us, including hosting providers, AI service providers, and customer support services. These providers are contractually obligated to protect your information.
4.2. Business Transfers
In the event of a business transition such as a merger or acquisition, your information may be transferred to the successor organization with notice and opt-out opportunity.
4.3. Legal Requirements
We may disclose information if required by law, in response to a court order, or to protect our rights, property, or safety.
4.4. Artificial Intelligence and Data Use
CoVet does not use your data to train or fine-tune AI models. We do not sell your personal information or share it for marketing purposes. Processing by AI providers is done solely for service delivery.
5. Data Retention and Security
We retain personal information as long as necessary to fulfill its purposes. We have implemented encryption, secure storage, regular assessments, and access controls aligned with SOC 2, GDPR, and CCPA standards.
6. Your Rights and Choices
Depending on where you are located, you may have certain rights in relation to your personal information. These rights may include:
Access — You can ask us to confirm whether we process your personal information and to provide you with a copy of that information.
Correction — You can ask us to correct personal information that is inaccurate or incomplete.
Deletion — You can ask us to delete your personal information in certain circumstances. This is sometimes called the “right to be forgotten.” In some cases, we may need to retain certain information where required for legal, security, accounting, or veterinary record-keeping reasons.

Automated decision-making — You have rights in relation to decisions made solely by automated means where those decisions have a legal or similarly significant effect on you. CoVet does not use your personal information to make decisions about you in this way.
Withdrawal of consent — Where we rely on your consent to process personal information, you can withdraw that consent at any time. Withdrawing consent will not affect processing that took place before your consent was withdrawn.

If your request relates to clinical consultation data, recordings, transcripts, notes, or other information connected to a veterinary practice or case, we may need enough information to identify the relevant account, case, or record.
Where we delete information in response to a valid request, we will take reasonable steps to delete it from our active systems and, where applicable, from backup or downstream systems in accordance with our legal, security, and operational requirements. We can provide written confirmation once a deletion request has been completed.

7. International Data Transfers
Data may be stored or processed in countries outside your residence. CoVet has implemented safeguards including standard contractual clauses and compliance with GDPR.
